Logistics Assistant (X2)
Job Description: Reporting to the Logistics Manager, the Procurement & Logistics Assistant will play a crucial role in overseeing and managing the supply chain, procurement, and logistics operations for NAZ. This dynamic position involves handling procurement requisitions, inventory management, coordinating transportation and deliveries, ensuring compliance with regulatory requirements, supplier management, and meticulous record-keeping.
Duties and Responsibilities:
Logistics Processes and Procedures:
- Provide support to the logistics department in the procurement process, preparing purchase orders, ensuring complete documentation, and maintaining records.
- Compile and manage various logistics-related documents, including procurement requests, purchase dossiers, supply purchase orders, delivery notes, and invoices.
- Process and track orders to suppliers, following NAZ’s internal procurement procedures.
- Initiate the payment process to suppliers, compiling payment vouchers, dossiers, invoices, and necessary documents from Finance.
- Screen and register approved suppliers in adherence to donor regulations and internal policies.
Vendor and Supplier Interaction:
- Communicate with vendors and suppliers to obtain quotes, track orders, and resolve any issues.
- Assist with inventory management, tracking and managing inventory levels, conducting stock counts, and ensuring accuracy in records.
- Manage organizational assets and equipment, maintaining a database and updating relevant information.
- Coordinate transportation of personnel and materials, internally or externally, ensuring timely and efficient delivery.

Warehouse Operations Support:
- Support NAZ’s warehouse operations, optimizing storage space, handling inbound and outbound shipments, and maintaining an organized storage environment.
- Perform data entry related to logistics operations, assisting in data analysis when required.
- Assist in ensuring compliance with relevant regulatory requirements for suppliers and procurement protocols.
- Identify areas for process improvement within the logistics workflow and propose ideas for streamlining operations.
Collaboration and Administrative Support:
- Collaborate with other departments, particularly finance and programs, to ensure smooth logistics operations and effective communication.
- Provide administrative support, including routine office logistical tasks, events setups, equipment disbursement, etc.
Financial Processes and Reporting:
- Collaborate with the Finance department in order processing and procurement funding requests.
- Initiate payment requisitions for procurements.
- Collate, analyze, and compile logistics-related financial information.
- Support in preparing logistics financial information and reports for audits.
Qualifications and Experience:
- Bachelor’s degree or equivalent in logistics, supply chain management, or a related field.
- Professional qualification such as CIPS, CILT is an added advantage.
- Minimum of 2 years of experience in a related position; prior experience in a non-profit organization is advantageous.
- Proficiency in IT systems and applications.
- Excellent analytical, problem-solving, and communication skills.
- High attention to detail and accuracy.
